This Privacy Policy explains how Prodja ("we", "us", or "our") collects, uses, discloses, and protects personal information when you use our wholesale management platform — including Prodja Hub, the Prodja Sales App, and the Prodja Wholesale Storefront (collectively, the "Service").
Prodja is operated from New South Wales, Australia. We handle personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs).
Information We Collect
Account and business information
When you or your team set up a Prodja account, we collect:
- Name, email address, and password for each user account
- Business name, ABN, and billing address
- Payment information processed securely through Stripe
Customer and order data
As part of operating the Service, we store wholesale customer records, product catalogues, pricing rules, and order data that you and your team enter or import. This data belongs to you — we process it on your behalf to deliver the Service.
Location data
The Prodja Sales App records GPS check-in data when a sales rep logs a customer visit. This data is visible to account administrators in Prodja Hub. Location access requires explicit permission on the rep's device and can be revoked at any time through device settings.
Usage and technical data
We automatically collect information about how the Service is used, including IP addresses, browser type, device identifiers, pages visited, and error logs. This data is used to maintain and improve the Service.
Communications
If you contact our support team by email or through the onboarding process, we retain those communications to help resolve issues and improve our service.
How We Use Your Information
- To deliver the Service — managing accounts, processing orders, syncing data with connected integrations (Xero, InvoiceNinja), and providing white-glove onboarding support
- To process payments — subscription billing is handled through Stripe; we do not store full card details
- To communicate with you — sending transactional emails, product updates, and onboarding communications
- To improve the Service — analysing usage patterns and diagnosing technical issues
- To comply with legal obligations — responding to lawful requests from regulatory authorities
Third-Party Services
We share data with third-party service providers only as necessary to operate the Service:
- Stripe — payment processing and subscription management
- Xero / InvoiceNinja — accounting sync when you connect these integrations
- Sentry — error monitoring and performance tracking
- Infrastructure providers — hosting and database services
We do not sell your personal information to third parties. Integrations with Xero and InvoiceNinja are only activated when you explicitly connect them in Hub settings.
Data Security
We use industry-standard security practices including encrypted connections (HTTPS/TLS), encrypted storage for sensitive data, and access controls that limit which team members can access your account data. While we take reasonable precautions, no system is completely secure and we cannot guarantee absolute security.
Data Retention
We retain your account data for as long as your subscription is active. Following account closure, data is retained for up to 90 days before deletion, unless a longer period is required by law.
Your Rights
Under the Australian Privacy Act, you have the right to access, correct, or request deletion of your personal information. To exercise these rights, contact us at [email protected]. We will respond within 30 days.
Children's Privacy
The Service is intended for use by businesses and is not directed at individuals under the age of 18. We do not knowingly collect personal information from minors.
Changes to This Policy
We may update this Privacy Policy from time to time. We will notify you of material changes by email or through a notice in Prodja Hub before the changes take effect. Continued use of the Service after changes constitutes acceptance of the updated policy.
